Using the Zoom Rooms controller

The below links go to the Zoom support page for more details, if desired. Simple directions for starting meetings or sharing your screen are below this section in this document.

Meet Now: Start an instant meeting

Meeting List: Start scheduled meetings as the host.

Join: Join a meeting using the meeting ID or personal link name.

Presentation: Display on-screen instructions to start screen sharing.

Starting or Joining a Zoom Meeting

Please use the control panel near the room entrance to start or join a Zoom meeting. Detailed directions for this process are below.

Starting a scheduled meeting as a host

  1. Tap Meeting List in the left panel.

  2. Tap the topic of your scheduled meeting.
    Note: To display meetings from a calendar service, you must integrate the Zoom Room with
     Google CalendarOffice 365Exchange 2016/13Exchange 2010 or Exchange 2007.

  3. Tap Start to start the meeting.

Starting an instant meeting

Note:

  • The room list on the controller automatically displays up to 2,000 rooms in the same account. Rooms not displayed on the list are still searchable using the search bar at the top the room list.

  • Users are not displayed in the contacts list but are searchable using the search bar at the top of the room list.

  1. Tap Meet Now in the left panel.

  2. Select a Zoom Room to invite, or use the search bar to find a user.

  3. Tap Meet Now to start an instant meeting.

Joining a meeting using the meeting ID

You can join a Zoom meeting by entering the meeting ID.

Note: If multiple Zoom Rooms join a meeting, the first one to join becomes the meeting host. If you're supposed to be the host, you can claim host by using the host key.

  1. Tap Join in the left panel.

  2. Enter the meeting ID using the number pad.

  3. Tap Join.

  4. (Optional) Claim host by using the host key if you're supposed to be the host.

Joining a meeting using meeting history

You can also join a meeting by selecting a meeting from list of previously-joined meeting. 

Note: The meeting history list only displays meetings joined by entering the meeting ID.

  1. Tap Join in the left panel.

  2. Tap the downward arrow to display recently-joined meetings.

  3. Tap the meeting topic to join.

Sharing your screen

Note: Both video and audio will be disabled on your laptop or mobile device by default when initiating a screen share from the Zoom Room controller.

  1. Start or join a meeting in a Zoom Room, if remote participants will be involved.

  2. Tap Share Content in the Zoom Rooms controller.

  3. Open a web browser and visit share.zoom.us.

  4. Enter the meeting ID or personal link, then click Share Screen. You can also click Enter a Sharing Key.

  5. When prompted, allow your web browser to open Zoom.

  6. Select the screen or application you want to share, then click Share.

Switching between shared screen and participants' video

  1. Start or join a meeting in a Zoom Room.

  2. Start sharing a screen using the Zoom Room controller.

  3. On the Zoom Room controller, tap Options below Change View.

Tap Swap Content to switch between shared screens and participants' video.
